JOB SUMMARY:

The Project Coordinator provides support to the Project Management Director by coordinating project activities related to our equipment upgrade program and assists the project managers in the execution of their duties as assigned. The position is an entry-level to a path to project management. The ideal candidate will be highly organized with a technical aptitude and strong oral and written communication skills, and coachable to develop increasing levels of competence. The position will be based Petaluma, California.

REPORTS TO / SUPERVISION RECEIVED:

Position reports to Project Management Director.
 

ESSENTIAL DUTIES/RESPONSIBILITIES (but not limited to):

 
  • Acquires progressive expertise and knowledge of our products.
  •  Organizes requests for equipment upgrades and keeps track of progress and customer communication.
  • Discusses, Coordinates and Requests technical proposals to manufacturers in Europe & USA.
  • Works collaboratively with the head of the department and project managers to execute upgrade procurement and installations.
  • Prepares proposals, facilitates orders and manages process to fulfillment of order.
  • When required, travel with department representatives to present technical solutions and proposals.
  • Coordinates resources for successful implementation of solutions.
  • Assisting importation of equipment from overseas with associated machinery vendors and freight forwarders.
  

 
  • Interacts with customers on technical matters.
  • Participates in project design meetings and proposes improvements if necessary.
  • Evaluates potential problems and technical hitches and develops solutions.
  • Plans and manages team goals, project schedules and new information.
  • Supervises current projects and coordinates all team members to keep workflow on track.
  • Manages project-related paperwork by ensuring all necessary materials are current, properly filed and stored.
  • Directs project correspondence by preparing and reviewing project proposals, memos, meeting minutes and emails.

  • Assists in the various tasks involved in the implementation of a project, like budgeting, scheduling, organizing, record-keeping, and handling information flow from the Project Manager.
  • Communicates with customers to identify and define project requirements, scope, and objectives.
  • Adhere to budget by monitoring expenses and implementing cost-saving measures.
  • Assists in coordination of additional project management activities.
  • Utilize CRM resources for tracking, sharing, and reporting on efforts.
  • Continually improve the technical standing of MBFNA and personally.

SKILLS AND QUALIFICATIONS

Education

  • Bachelor’s degree in engineering or relevant experience

Experience

  • A minimum of two (2) years’ experience in a similar role, or industry
 


 Skills
  • Experience with Automated Industrial equipment.
  • Excellent verbal and written communication skills.
  • Proficient in spelling, grammar, and composition.
  • Strong listening and presentation skills.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Ability to perform with professionalism under pressure.
  • Must have demonstrated ability to read, understand, follow instructions, and must demonstrate ability to write messages.
  • Ability to use software applications, computers, and office equipment.
  • High level customer service skills including communication and correspondence skills.

Computer Skills

Microsoft Office Suite (Word, Excel, Power Point) with knowledge of Excel. Salesforce CRM and AutoCAD.
Spanish Language a plus
