Job Summary The project administrator plays a critical role in the successful execution of commercial construction projects. This position is responsible for managing project documentation, maintaining data integrity in Procore, assisting with subcontract tracking, and supporting the project management team with administrative and closeout tasks.  Direct Hire role, paying $60-$65k. 

Duties/Responsibilities:
• Create new projects by entering all project details into Procore, including project address, team members, subcontractors, specifications and other relevant project information to set up the job 
• Assign appropriate phase codes for the project and input budget details for accurate tracking 
• Import the Schedule of Values (SOV) and budget into Procore 
• Develop and maintain an up-to-date project directory within Procore, including contact information for subcontractors and project teams 
• Coordinate with the internal project team to manage subcontracts, including the creating and distributing of subcontract change orders 
• Add new phase codes for change orders and new subcontracts as needed 
• Prepare monthly Procore financial reports for project manager review 
• Create yellowsheets, to track change orders and monthly pay applications which track project updates, changes, and important milestones, ensuring that all project data is accurately recorded 
• Track and maintain required project documentation, including Certificates of Insurance (COI), bonds, contracts, background checks, and notices of subcontracts 
• Export completed project data from Procore and archive it appropriately for future reference 
• Assist Project Managers with preparing closeout documentation 
• Creating company SOPs (Standard Operating Procedures) 
• Provide additional support to Project Managers

 Qualifications Education/Training:
A high school diploma or GED is required. An associate’s or bachelor’s degree in construction management, business administration, or a related field is preferred. 

Experience: 2-4 years of experience of in construction administration or project coordination, preferably in the commercial construction industry. Hands-on experience with Procore or a similar construction project management software is required.

Skills: The ideal candidate will be highly organized with excellent attention to detail and strong data entry skills. 

Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook, is essential. A solid understanding of construction documentation, subcontracting processes, and basic financial reporting is required. 

Candidates must have strong written and verbal communication skills and the ability to manage multiple priorities in a fast-paced, deadline-driven environment. A proactive, team-oriented, and solutions-focused approach is critical for success in this role.
